Volunteer Title: Volunteer Administrative Assistant
Line Manager: Juana Silva – Deputy Manager of Clinical Services
Hours per week: Minimum of two full days a week.
Job Summary: To provide administrative support to the IRIE Mind team.
Key SHARED responsibilities:
ADMINISTRATION AND RECEPTION:
- Assist in the reception of clients and maintaining client register.
- Assist in telephone/fax communications.
- Assist with all general administration duties for the team when required.
- Ensure that central filing systems are maintained.
- Compile and maintain databases of information and contact details regarding this service.
- Send out information and literature about City and Hackney Mind, including referral forms as required.
- Organise and undertake mail outs as and when requested.
- Liaise effectively with all staff within the Team/
GENERAL:
- In accordance with the Health and Safety at Work Act 1974, to take care of your own health and safety at work and of any clients/visitors you are working with. This includes reporting any risks or potential hazards to the Health and Safety Officers.
- Be self-servicing administratively, including proficiency in the use MS Word, MS Excel and the use of email systems, or any other such software or IT systems as maybe required in connection with fulfilling any of the above tasks
- Attend supervision and appropriate internal and external training courses as approved by the Head of Psychological Therapies.
- Any other relevant duties as requested by your line manager , or other seniors at IRIE Mind
- Have the physical and mental capacity to carry out all the above within stipulated times.
